Set Up a New iPhone for Work

Overview

This guide walks you through setting up a new iPhone (or a personal iPhone) for work email, calendar, Teams, and MFA. The process takes about 15 minutes once your phone is unboxed and on Wi-Fi.

Before You Begin

  • Your iPhone running iOS 18 or later.
  • Your work email and password.
  • A Wi-Fi connection or cellular data.
  • Your old phone available, if migrating from one.

Steps

  1. Finish basic iPhone setup (Apple ID, passcode, Face ID). Connect to Wi-Fi when prompted.
  2. Open the App Store and install these apps:
    • Microsoft Authenticator
    • Microsoft Outlook
    • Microsoft Teams
    • Microsoft OneDrive
  3. Open Microsoft Authenticator first. Tap Add account → Work or school account → Sign in.
  4. Enter your work email and password. Approve the registration prompt that appears.
  5. Open Microsoft Outlook. Tap Add Account and enter your work email.
  6. Approve the MFA prompt in Authenticator. Match the number shown on the iPhone.
  7. Allow Outlook to send notifications and access your contacts when asked.
  8. Open Microsoft Teams and sign in with the same work email. Allow microphone, camera, and notification access.
  9. Open OneDrive and sign in. Allow camera roll backup if your company supports personal photo backup (most do not — leave it off if unsure).
  10. Test by sending yourself an email and confirming it arrives in Outlook on the phone.

Troubleshooting

  • If you see "Need admin approval": your phone needs to be registered as a work device. Contact support before continuing.
  • If Authenticator does not show a pending prompt: open it and pull down to refresh. Pending approvals show at the top.
  • If notifications never arrive: open Settings → Notifications, find each Microsoft app, and turn Allow Notifications on.
  • If Touch ID or Face ID does not protect Outlook: open Outlook → tap your profile → Settings → Privacy → Require Face ID to access.
  • If you are replacing an old work phone: on the old phone, sign out of every Microsoft app first. This frees up the device record. Contact support if you no longer have the old phone.
