Set Up Email on Your Phone (Onboarding)

Overview

Adding your work email to your phone lets you stay reachable when you step away from your desk. This guide walks new employees through installing Outlook for iOS or Android and signing in for the first time.

Before You Begin

  • Your work email address and password.
  • Your phone running iOS 18 or later, or Android 14 or later.
  • Microsoft Authenticator already set up on the same phone. If you have not done that yet, finish MFA setup first.
  • A Wi-Fi or cellular connection.

Steps

  1. Open the App Store (iPhone) or Google Play Store (Android).
  2. Search for Microsoft Outlook and install the app published by Microsoft Corporation.
  3. Open Outlook. Tap Add Account.
  4. Enter your full work email address and tap Continue.
  5. Enter your work password and tap Sign in.
  6. Approve the MFA prompt in Microsoft Authenticator. Match the number shown.
  7. If asked, allow Outlook to send notifications and access your contacts. Notifications are recommended.
  8. When prompted to add another account, tap Maybe Later.
  9. Confirm your inbox loads. Send a test email to yourself from a computer to confirm two-way delivery.

Troubleshooting

  • If you see "Need admin approval": your device may need to be registered first. Contact support before retrying.
  • If the MFA prompt never arrives: open Microsoft Authenticator directly. Pending approvals appear at the top.
  • If your inbox is empty after sign-in: wait two to three minutes for the first sync. Pull down on the message list to refresh.
  • If calendar entries are missing: tap the calendar icon at the bottom of Outlook. The work calendar shows under your account name.
  • If you change phones later: remove the account from the old phone before retiring it. Contact support if you no longer have the old phone.
