Set Up a New Android Phone for Work

Overview

This guide walks you through setting up a new Android phone (or a personal Android) for work email, calendar, Teams, and MFA. Plan for about 15 minutes once you have completed basic Android setup.

Before You Begin

  • Your Android phone running Android 14 or later.
  • Your work email and password.
  • A Wi-Fi or cellular data connection.
  • Your old phone available, if you are migrating from one.

Steps

  1. Finish basic Android setup (Google account, screen lock, fingerprint). Connect to Wi-Fi.
  2. Open the Google Play Store and install these apps:
    • Microsoft Authenticator
    • Microsoft Outlook
    • Microsoft Teams
    • Microsoft OneDrive
    • Intune Company Portal (only if your IT team requires it; ask support if unsure)
  3. Open Microsoft Authenticator first. Tap Add account → Work or school account → Sign in.
  4. Enter your work email and password. Approve the registration prompt.
  5. Open Outlook. Tap Add Account and enter your work email.
  6. Approve the MFA prompt in Authenticator. Match the number shown.
  7. Allow Outlook to send notifications and access contacts when asked.
  8. Open Microsoft Teams and sign in with the same work email. Allow microphone, camera, and notification permissions.
  9. Open OneDrive and sign in. Leave camera roll backup off unless your company requires it.
  10. Confirm setup by sending yourself an email and checking Outlook on the phone.

Troubleshooting

  • If you see "Need admin approval": your phone needs to be registered. Open Intune Company Portal if installed, or contact support.
  • If Authenticator does not prompt you: open the app and pull down to refresh. Pending approvals appear at the top.
  • If notifications never arrive: open Settings → Apps, pick the Microsoft app, and turn Notifications on. Some phones also have a separate battery-saver setting that blocks background notifications.
  • If you are on a Samsung phone with Knox: work apps may land in a separate Secure Folder. Look there if an app appears missing.
  • If you are replacing an old work phone: sign out of every Microsoft app on the old phone first. Contact support if you no longer have it.
