Connect to an Office Printer

Overview

Office printers appear automatically on company laptops in most environments, but you may need to add one yourself if you have moved desks, joined a new office, or replaced your laptop. This guide covers manual setup on Windows 11 and macOS.

Before You Begin

  • You are on the office network (Wi-Fi or wired), not the guest network.
  • You know the printer's name or location (for example, Printer-Floor3-Kitchen).
  • You are signed in with your work account.

Steps

Windows 11

  1. Click Start and open Settings.
  2. Go to Bluetooth & devices → Printers & scanners.
  3. Click Add device. Windows searches the network for printers.
  4. When your printer appears, click Add device next to its name.
  5. Wait for Windows to install the driver. Status changes to Ready when finished.
  6. Right-click the printer, choose Printer properties, and click Print Test Page.

macOS

  1. Open System Settings → Printers & Scanners.
  2. Click the + button.
  3. Pick your office printer from the list. macOS detects most printers via Bonjour or AirPrint.
  4. If asked for a driver, click Use → AirPrint when available. Otherwise pick the printer model from the dropdown.
  5. Click Add.
  6. Print a test page from any app using File → Print.

Troubleshooting

  • If the printer is not in the list: confirm you are on the office network. Guest Wi-Fi blocks access to office printers. Restart your computer after switching networks.
  • If a driver fails to install on Windows: open Windows Update → Check for updates. Missing print drivers often arrive through Windows Update.
  • If the test page never prints: check the printer's display for paper jams, low toner, or offline status.
  • If you see "Driver unavailable": contact support with the printer name. Some models need a specific driver from the manufacturer.
  • From home: office printers are not reachable over the internet. Save the document as PDF and print at the office, or use a home printer set up separately.
