Share Your Calendar in Outlook
Overview
Sharing your calendar lets coworkers see when you are free or busy, view your meeting details, or even add events on your behalf. This guide covers how to share with people inside your company and how to send a public link to people outside it.
Before You Begin
- Outlook on the web or Outlook for Windows.
- The email addresses of the people you want to share with.
- A decision on how much they should see (free/busy only, titles, or full details).
Steps
Outlook on the Web
- Open Outlook in your browser at outlook.office.com.
- Click the Calendar icon in the left sidebar.
- In the calendar list, hover over the calendar you want to share. Click the three-dot menu and pick Sharing and permissions.
- Type the coworker's email address and press Enter.
- Pick a permission level from the dropdown:
- Can view when I'm busy — free/busy only.
- Can view titles and locations — limited details.
- Can view all details — full event content.
- Can edit — they can add and change events.
- Delegate — full edit plus the ability to act on meeting requests.
- Click Share. Your coworker gets an email invitation.
- Repeat for each person you want to share with.
Outlook for Windows
- Open Outlook and click the Calendar icon at the bottom.
- On the Home tab, click Share Calendar.
- Pick the calendar to share (usually Calendar).
- Click Add and pick coworkers from the address book.
- Set the permission level and click OK.
Share With People Outside Your Company
- In Outlook on the web, open Sharing and permissions for the calendar.
- Under Inside your organization, change My organization to Can view when I'm busy.
- Above that, look for Publish a calendar and click it.
- Pick a permission level and click Publish. Copy the HTML or ICS link to share externally.
Troubleshooting
- If a coworker says they cannot see your calendar: confirm the email address. Permissions can take up to an hour to take effect.
- If you want to revoke access: open Sharing and permissions and click the X next to a person's name.
- If you cannot publish a calendar externally: your administrator may have blocked external sharing. Submit a ticket if external sharing is a business need.
- If your shared calendar looks wrong on someone else's screen: ask them to remove your calendar and add it again to refresh the connection.
