Schedule and Run a Google Meet
Overview
Google Meet is the built-in video meeting tool in Google Workspace. This guide shows you how to schedule a meeting from Google Calendar and run it smoothly when the time comes.
Before You Begin
- Your work Google account, signed in.
- A list of attendees with their email addresses.
- The date, time, and length of the meeting.
- A headset for clear audio.
Steps
- Go to calendar.google.com in your browser.
- Click Create > Event.
- Add a title that tells people what the meeting is about.
- Set the date and time.
- Click Add Google Meet video conferencing. A link appears in the event.
- In Add guests, type the email addresses of attendees.
- Add a short description with the agenda so people know what to prepare.
- Click Save, then Send to email invites.
- When it is time for the meeting, open the calendar event and click Join with Google Meet.
- On the pre-join screen, choose your camera and microphone, then click Join now.
- To share your screen, click Present now in the meeting toolbar and choose A window, A tab, or Your entire screen.
- To record (if your plan allows), click Activities > Recording > Start recording. Tell attendees first.
- When done, click the red phone icon to leave.
Troubleshooting
- If guests outside your company cannot join: in the calendar event, click the gear icon next to the Meet link and confirm guests can join without sign-in.
- If your microphone or camera does not work: check the camera and mic icons at the bottom of the join screen. Click the gear icon to pick a different device.
- If you do not see the Recording option: your account plan may not include it. Ask your manager or IT to confirm.
- If audio is choppy: turn off your camera, switch to a wired connection, or use the phone dial-in shown in the invite.
- If the link is missing from a calendar event: edit the event, click Add Google Meet video conferencing, and save again.
