Google Drive Basics: Store, Share, and Find Files

Overview

Google Drive is your cloud file storage in Google Workspace. Anything you save there is accessible from any browser, your phone, or your computer with Drive for Desktop installed. This guide covers the basics: saving, sharing, and finding files.

Before You Begin

  • Your work Google account email and password.
  • A browser, or Drive for Desktop installed on your Windows PC or Mac.
  • About 10 minutes to get familiar with the layout.

Steps

  1. Open a browser and go to https://drive.google.com.
  2. Sign in with your work email. Approve the MFA prompt on your phone if asked.
  3. The left sidebar shows My Drive (your personal files) and Shared drives (team files).
  4. To upload a file, click + New in the top left, then choose File upload or Folder upload.
  5. To create a new document, click + New → Google Docs (or Sheets, Slides). The file saves automatically as you type.
  6. To share a file, right-click it and choose Share. Type the recipient's email and choose Viewer, Commenter, or Editor. Click Send.
  7. To find a file fast, use the search bar at the top. You can search by name, file type, owner, or content inside the file.
  8. To work offline, install Drive for Desktop from https://www.google.com/drive/download. Sign in to see your Drive in File Explorer or Finder.

Troubleshooting

  • If a file will not upload: check the file size. Single-file uploads are capped at 5 TB but slow connections can time out. Try uploading smaller files.
  • If you see "You need permission": the file owner has not shared the file with you. Click Request access and the owner gets an email.
  • If a shared file is read-only and you need to edit: ask the owner to change your role to Editor.
  • If Drive for Desktop will not sign in: quit the app, reopen it, and sign in fresh. Restart your computer if the issue continues.
  • If your storage is full: empty the Trash in Drive's left sidebar. Items in Trash still count toward your quota for 30 days.
