Create a New Outlook Profile

Overview

A new Outlook profile gives you a fresh start when Outlook keeps crashing, searching is broken, or your mailbox will not load. Creating a new profile does not delete your email — your messages live on the server and re-download into the new profile. This guide covers Outlook for Windows.

Before You Begin

  • Outlook for Windows installed and currently closed.
  • Your work email address and password.
  • Multi-factor authentication ready (your phone or Authenticator app).
  • About 10–20 minutes for mail to download into the new profile.

Steps

  1. Close Outlook completely. Check the system tray near the clock and right-click any Outlook icon, then choose Quit if present.
  2. Press the Windows key, type Control Panel, and open it.
  3. If you do not see Mail in the list, change View by (top right) to Small icons.
  4. Click Mail (Microsoft Outlook).
  5. In the dialog, click Show Profiles.
  6. Click Add to start a new profile.
  7. Type a profile name such as Outlook-New, then click OK.
  8. Enter your work email address, then click Next.
  9. Sign in with your password and approve the multi-factor authentication prompt.
  10. When the setup finishes, click Finish.
  11. Back on the Mail dialog, select Prompt for a profile to be used, or pick Always use this profile and select your new profile.
  12. Click Apply, then OK.
  13. Open Outlook. If prompted, choose your new profile.

Troubleshooting

  • If Outlook still loads the old profile: repeat Step 11 and confirm the new profile is selected as default.
  • If sign-in keeps looping: sign out of any other Microsoft 365 apps (Word, Teams, OneDrive), then try again.
  • If mail downloads slowly: large mailboxes can take an hour or more to sync. Leave Outlook open and connected to power.
  • If you need files from the old profile: the old profile and its offline data file (.ost) still exist. Do not delete it until the new profile is fully working.
