Send Email From a Shared Mailbox

Overview

Once you have access to a shared mailbox, you can send email from its address — useful for sending replies as support@yourcompany.com or billing@yourcompany.com instead of from your personal account. This guide shows how to switch the From address on a new message.

Before You Begin

  • Send As or Send on Behalf permission on the shared mailbox. If you can read the mailbox but not send from it, ask your administrator to add the right permission.
  • Outlook on the web, Outlook for Windows, or Outlook mobile, signed in with your own account.

Steps

Outlook on the Web

  1. Open Outlook in your browser at outlook.office.com.
  2. Click New mail.
  3. Click the Options tab at the top of the message.
  4. Click Show From. A From field appears above the To line.
  5. Click the From address. If you see the shared mailbox in the dropdown, pick it.
  6. If the shared mailbox is not listed, click Other email address, type the shared mailbox address, and click OK.
  7. Compose your message and click Send. Recipients see the shared mailbox as the sender.

Outlook for Windows

  1. Open Outlook and click New Email.
  2. On the Options tab, click From.
  3. If the shared address is listed, pick it. Otherwise click Other email address and type it in.
  4. Compose your message and click Send.

Outlook Mobile

  1. Open the Outlook app and tap the pencil icon to start a new message.
  2. Tap the From field at the top of the message.
  3. Pick the shared mailbox from the list.
  4. Compose and send.

Troubleshooting

  • If the shared address is not in the From dropdown: type it manually using Other email address. Outlook remembers it for next time.
  • If recipients see your name instead of the shared mailbox: make sure the From field shows the shared address before you send. The From address resets between messages.
  • If you get a bounce-back saying "you do not have permission to send as this user": your permission is missing or has not propagated yet. Wait an hour, restart Outlook, and try again. If it still fails, submit a ticket.
  • If sent mail does not show in the shared mailbox's Sent Items: ask your administrator to enable Send-As save to Sent Items for the mailbox.
