Back Up Your Files With OneDrive

Overview

OneDrive's Known Folder Move feature backs up your Desktop, Documents, and Pictures folders to the cloud automatically. Anything you save in those folders is protected without extra effort. This guide shows you how to confirm backup is on and verify your files are safe.

Before You Begin

  • OneDrive is already running on your computer. If it is not, follow Set Up OneDrive on Your Windows PC first.
  • You are signed in with your work account.
  • You know roughly how much data sits in your Desktop and Documents folders. Large libraries take longer for the first sync.

Steps

  1. Click the OneDrive cloud icon in the system tray near the clock.
  2. Click the gear icon and choose Settings.
  3. Open the Sync and backup tab. Click Manage backup.
  4. Confirm Desktop, Documents, and Pictures show as Backed up.
  5. If any folder is off, toggle it on and click Save changes. OneDrive begins copying the contents to the cloud.
  6. Watch the cloud icon. A spinning icon means a sync is in progress. A blue cloud with a check means everything is uploaded.
  7. Open File Explorer and click OneDrive – YourCompany in the left sidebar to see your backed-up folders.
  8. Open a web browser and go to https://www.office.com. Click OneDrive to confirm your files are visible online.

Troubleshooting

  • If a folder will not back up: the folder may contain a file type OneDrive cannot sync (such as Outlook .pst files). Move those files elsewhere, then retry.
  • If sync is stuck on one file: right-click the file in OneDrive, choose Always keep on this device, then Free up space.
  • If your storage is full: open OneDrive online and empty the Recycle bin. Contact support if you need more storage.
  • If you save files to other folders (like D:): those are not backed up. Move them to Desktop or Documents to include them.
  • If you have a lot of personal files mixed in: keep work files only in your work OneDrive. Personal files belong in a separate personal cloud account.
